Job Title: Administration Front Desk Support

Location: Naples, Florida

Reports To: Associate Director

Job Type: Part-Time (20 hrs per week)

Job Summary:

The Administration Front Desk Support is the first point of contact for clients, visitors, and staff. This role is responsible for managing front desk operations, providing administrative support, and ensuring smooth daily office operations. The ideal candidate is organized, professional, and able to handle multiple tasks efficiently in a fast-paced environment.

Key Responsibilities (include but are not limited to):

  • Greet and welcome visitors in a professional and courteous manner.
  • Answer, screen, and direct incoming calls and emails promptly.
  • Maintain the reception area and meeting rooms to ensure a clean and tidy environment.
  • Manage incoming and outgoing mail, packages, and courier deliveries.
  • Provide general administrative and clerical support (e.g., filing, photocopying, scanning).
  • Schedule meetings, appointments, and manage shared calendars as needed.
  • Maintain office supplies inventory and place orders when necessary.
  • Assist with onboarding of new employees, including issuing access passes, office keys, etc.
  • Support HR, Finance, and other departments with administrative tasks and document preparation.
  • Help coordinate office events, meetings, and travel arrangements.
  • Maintain confidentiality and handle sensitive information appropriately.
  • Perform data entry and database management as required.
  • Follow all company policies and procedures, ensuring a safe and welcoming work environment.

Qualifications:

  • High school diploma or equivalent; post-secondary education in business administration or related field preferred.
  • Proven experience in an administrative, receptionist, or front desk role.
  • Excellent verbal and written communication skills.
  • Proficient in MS Office (Word, Excel, Outlook, PowerPoint) and general office equipment.
  • Strong organizational and time management skills.
  • Ability to multitask and work independently with minimal supervision.
  • Professional demeanor and customer service orientation.
  • Ability to maintain discretion and confidentiality.

Physical Requirements:??

This position requires a mix of physical activities throughout the workday. Duties involve periods of standing, sitting, and walking, often across various areas of the site. The role also includes tasks that may require bending, reaching, and other physical movements. Candidates must be able to occasionally lift and carry items weighing up to 50 pounds. A reasonable level of physical stamina and mobility is necessary to successfully perform the essential functions of this role.??
