Job Summary: The Advancement Team plays a vital role in sustaining DLC's mission by engaging donors, partners, and community champions who make this life-changing work possible. Our Assistant provides comprehensive administrative, operational, and donor-support services to Development, Marketing & Communications, Events, and other groups.

This is a high-impact coordination role that reinforces donor stewardship, executive priorities, event and tour logistics, database accuracy, communications coordination, and special projects.

Key Responsibilities:

Executive-Level Support for the Vice President of Advancement

- Manage and coordinate the VP of Advancement's complex calendar, including high-volume scheduling, meeting prioritization, and conflict resolution with discretion and sound judgment.

- Serve as the primary point of contact for scheduling requests, ensuring thoughtful follow-up and clear communication.

- Prepare the VP for meetings by organizing agendas, briefing materials, donor profiles, and relevant background information.

- Anticipate scheduling needs and adjust timelines proactively.

- Coordinate logistics for VP-led donor meetings and Advancement-related engagements.

- Maintain confidentiality and handle sensitive information with the highest level of professionalism.

Administrative & Departmental Support

- Provide daily administrative support to Advancement leadership and teams.

- Draft, proofread, and prepare correspondence, presentations, and internal communications.

- Prepare, record, and distribute meeting minutes.

- Assist with budget tracking, invoice processing, and expense submissions.

- Maintain departmental files, shared drives, and donor-facing materials.

- Support onboarding of new Advancement staff.

- Monitor shared inboxes and follow up on outstanding requests.

Donor Relations & Stewardship

- Support donor acknowledgment and stewardship efforts.

- Enter and maintain donor data in Raiser's Edge.

- Assist with data validation and record accuracy.

- Assemble donor presentation and recognition materials.

Tour Coordination & Event Logistics

- Coordinate donor tours and prepare tour materials.

- Send invitations, confirmations, directions, and follow-up communications.

- Maintain tour tracking documentation and assist the Events Manager with RSVP tracking as needed.

Qualifications:

- High School Diploma and Relevant Experience = Required

- Associate's Degree from an accredited institution in related field = Preferred

- Minimum of three (3) years of relevant administrative, development, or advancement experience, ideally within a nonprofit or mission-driven organization = Required

- Experience with Raiser's Edge or similar fundraising/database systems = Preferred

- Strong organizational skills with exceptional attention to detail and follow-through = Required

- Excellent written and verbal communication skills, and ability to manage confidential information with discretion and professionalism = Required

- Alignment with DLC's mission and a demonstrated belief in the importance of behavioral health services = Required

- Comfort with managing multiple priorities, a willingness to step in where needed, and a mission-driven work ethic = Required

- Current/Clear FL Driver's License & Microsoft Office 365 skills (Including Teams/Copilot) = Required

- Staying compliant on all trainings and immunizations = Required

- Ability to pass Level II DCF Mental Health Fingerprinting (General Information can be found HERE), Drug Screen and Local Criminal Check = Required

Physical Requirements: This position requires a mix of physical activities throughout the workday. Duties involve periods of standing, sitting, and walking, often across various areas of the site. The role also includes tasks that may require bending, reaching, and other physical movements. Candidates must be able to occasionally lift and carry items weighing up to 50 pounds. A reasonable level of physical stamina and mobility is necessary to successfully perform the essential functions of this role.
