Job Summary: The Clinical Records Release Specialist is an integral member of the Clinical Records Team, which is dedicated to assisting clients throughout their recovery process. By working collaboratively within a diverse group of colleagues, this position significantly shapes the experience clients have with DLC, supporting their journey toward lifelong wellness.
Key Responsibilities:
- Provides comprehensive assistance to the Clinical Records Department to ensure smooth operations and client support.
- Oversee the release of records and maintain accurate tracking within the department's database.
- Manages client paperwork, coordinates deposits, assists with insurance audits, assists with processing subpoenas and coordinating depositions.
- May assist as Records Custodian in court appearances.
- Scans and attaches forms into Electronic Medical Records (EMR).
- Offers proactive and thoughtful recommendations aimed at improving department processes and enhancing overall quality.
- Sets a high standard for client-centered service within the SWFL community, consistently demonstrating care and commitment.
- Embraces and exemplifies the DLC Charter by showing integrity, compassion, collaborative partnership, creativity, and resourcefulness in every aspect of their work.
Qualifications:
- High School Diploma/GED = Required
- Formal training in a related field with at least one year of related experience, preferred.
- Knowledge of medical records processes, Electronic Medical Records (EMR) systems, and chart auditing practices in a healthcare or behavioral health setting.
- Ability to accurately process and respond to court orders, subpoenas, and other legal requests for protected health information in compliance with HIPAA and applicable regulations.
- Knowledge of HIPAA regulations as well as state and federal laws which mandate compliance for disclosure of information = Preferred
- Bilingual (Spanish) = Preferred
- FL State Notary = Required w/in Initial Employment Period (Paid for by DLC)
- Professional, pleasant and patient communication style (phone and in-person) = Required
- Ability to maintain a high level of confidentiality, integrity and trust = Required
- Ability to relate to and communicate with a diverse group of colleagues and community members = Required
- Microsoft Office 365 skills (Including Teams/Video Conferencing) and Electronic Medical Records experience = Strongly Preferred
- Staying compliant on all training and immunizations.
- Ability to pass Level II DCF Mental Health Fingerprinting (General Information can be found HERE), Drug Screen and Local Criminal Check
Physical Requirements:
This position requires a mix of physical activities throughout the workday. Duties involve periods of standing, sitting, and walking, often across various areas of the site. The role also includes tasks that may require bending, reaching, and other physical movements. Candidates must be able to occasionally lift and carry items weighing up to 50 pounds. A reasonable level of physical stamina and mobility is necessary to successfully perform the essential functions of this role.
