Position Overview:

The Data Reporting Specialist will be responsible for overseeing and managing the collection, analysis, and reporting of data related to mental health and substance use services. This role is critical in ensuring accurate and timely reporting of data to internal committees and external state/federal partners as well as maintaining the quality and integrity of client records for reporting.

Key Responsibilities:

  1. Data Collection & Reporting:
  1. Ensure data is properly entered into electronic health records (EHR) systems and other tracking systems.
  1. Exporting, consolidating, and presenting agency-related outcome measures that are obtained from the EHR system and other data sources.
  1. Monitor data quality and address discrepancies or issues in a timely manner.
  1. Regularly conduct audits of data to ensure its accuracy, completeness, and consistency.
  1. Assist in developing and implementing strategies to improve data quality and reporting efficiency/automation.
  1. Ensure consistency of all program segments across all major software platforms.
  1. State Reporting & Compliance:
  1. Prepare and submit periodic reports to state and federal agencies in compliance with regulatory standards.
  1. Ensure all reporting deadlines are met and that all required data fields are included and accurate.
  1. Creating and coordinating the preparation and release of reports for data error corrections and reduction.
  1. Completing and assisting with data error corrections, clarifications, and training.
  1. Monitoring any changes related to State data reporting requirements and communicating implications to the Data Team.
  1. Work with internal teams to ensure data is categorized and reported as intended; coordinate with coworkers to update data organization as needed.
  1. Manage the workflow and processing of incidentals for state funded (and potentially other funding sources) clients.
  1. Data Analytics Reporting:
  1. Run and distribute regularly scheduled reports for data quality, grants, compliance, etc.
  1. Produce ad-hoc reports and complete data requests for internal committees and external partners relating to performance, grants, client outcomes, etc.
  1. Present findings and recommendations to leadership in a clear, concise manner.
  1. Collaboration & Training:
  1. Work closely with clinical, administrative, and IT teams to improve data management processes for internal and external reporting.
  1. Provide training and guidance to staff on proper data entry practices and reporting requirements.
  1. Stay updated on changes to database structure and reporting requirements and update state reporting training documents and knowledge base as needed.
  1. Provide backup coverage for other Data Team members as required.
  1. Confidentiality & Compliance:
  1. Maintain client confidentiality and adhere to all HIPAA and confidentiality laws and regulations.
  1. Ensure all data handling, reporting, and storage practices comply with privacy and security policies.

Minimum Qualifications:

  • Education: Bachelor's degree (or AA degree and 1+ years of experience) in Healthcare Administration, Data Science, Psychology, Public Health or a related field.
  • Experience: 0-1 years of experience in data management, reporting, and/or administration.
  • Technical Skills: Proficiency with Office 365 and spreadsheet-based reporting tools such as Excel or Google Sheets.
  • Skills: Strong attention to detail, excellent organizational skills, and the ability to work independently and in teams. Strong written and verbal communication skills.

Preferred Qualifications:

  • Experience: 1-2 years of experience in data management, reporting, and/or administration in a healthcare setting.
  • Technical Skills: Proficiency with EHR systems. Familiarity with SQL, XML, and/or Python.
  • Knowledge: Familiarity with mental health and substance use treatment regulations, reporting requirements, and relevant state/federal compliance standards.

Physical Requirements:

This position requires a mix of physical activities throughout the workday. Duties involve periods of standing, sitting, and walking, often across various areas of the site. The role also includes tasks that may require bending, reaching, and other physical movements. Candidates must be able to occasionally lift and carry items weighing up to 50 pounds. A reasonable level of physical stamina and mobility is necessary to successfully perform the essential functions of this role.
