Job Summary
The Practice Manager for the Community Services Program is responsible for overseeing the daily operations of the program, ensuring the delivery of high-quality care to clients, and supporting clinical and administrative staff. This role combines leadership, operational management, and compliance oversight to create a structured, client-focused environment.
Key Responsibilities
Program Operations
- Oversee the day-to-day operations, ensuring smooth workflows and high-quality service delivery.
- Manage the implementation and adherence to program policies, procedures, and standards.
- Collaborate with clinical and administrative teams to optimize program performance and outcomes.
- Monitor occupancy and client intake processes to maintain program capacity and efficiency.
Staff Supervision and Development
- Recruit, train, and supervise administrative and support staff.
- Support clinical staff by coordinating schedules, resources, and tools needed to deliver effective treatment.
- Conduct regular performance evaluations and provide constructive feedback.
- Promote a positive work environment that emphasizes collaboration and professional growth.
Compliance and Quality Assurance
- Ensure the program adheres to all state, federal, and accreditation regulations related to substance use treatment.
- Maintain client confidentiality and compliance with HIPAA and other relevant standards.
- Monitor and address program outcomes, performance metrics, and client satisfaction.
- Prepare for and facilitate inspections, audits, and reviews by regulatory bodies.
Financial and Administrative Management
- Manage program budgets, monitor expenses, and identify cost-saving opportunities.
- Oversee billing and reimbursement processes to ensure timely and accurate submissions.
- Coordinate purchasing, vendor relations, and inventory management.
- Develop and implement operational strategies to enhance program efficiency and effectiveness.
Client and Stakeholder Engagement
- Serve as a point of contact for client families, community partners, and referral sources.
- Respond to client concerns and complaints, ensuring timely and satisfactory resolutions.
- Represent the program in community meetings, outreach events, and professional networks.
Qualifications
Education
- Highschool Diploma=Required
- Bachelor's degree in healthcare administration=Preferred
Required Experience
- Minimum of 2 years of management experience in a substance use treatment program, behavioral health, or similar healthcare setting.
- Proven track record of operational and staff management.
- Experience with compliance, regulatory standards, and accreditation processes in a healthcare environment.

- Knowledge of substance use treatment modalities and recovery principles.

- This role requires flexibility to address operational needs, which may include occasional evening or weekend hours.
Physical Requirements:
This position requires a mix of physical activities throughout the workday. Duties involve periods of standing, sitting, and walking, often across various areas of the site. The role also includes tasks that may require bending, reaching, and other physical movements. Candidates must be able to occasionally lift and carry items weighing up to 50 pounds. A reasonable level of physical stamina and mobility is necessary to successfully perform the essential functions of this role.
