Job Summary

The Practice Manager for the Substance Use Residential Program is responsible for overseeing the daily operations of the program, ensuring the delivery of high-quality care to clients, and supporting clinical and administrative staff. This role combines leadership, operational management, and compliance oversight to create a structured, client-focused environment.

Key Responsibilities

Program Operations

  • Oversee the day-to-day operations of the residential program, ensuring smooth workflows and high-quality service delivery.
  • Manage the implementation and adherence to program policies, procedures, and standards.
  • Collaborate with clinical and administrative teams to optimize program performance and outcomes.
  • Monitor occupancy and client intake processes to maintain program capacity and efficiency.

Staff Supervision and Development

  • Recruit, train, and supervise administrative and support staff.
  • Support clinical staff by coordinating schedules, resources, and tools needed to deliver effective treatment.
  • Conduct regular performance evaluations and provide constructive feedback.
  • Promote a positive work environment that emphasizes collaboration and professional growth.

Compliance and Quality Assurance

  • Ensure the program adheres to all state, federal, and accreditation regulations related to substance use treatment.
  • Maintain client confidentiality and compliance with HIPAA and other relevant standards.
  • Monitor and address program outcomes, performance metrics, and client satisfaction.
  • Prepare for and facilitate inspections, audits, and reviews by regulatory bodies.

Financial and Administrative Management

  • Manage program budgets, monitor expenses, and identify cost-saving opportunities.
  • Oversee billing and reimbursement processes to ensure timely and accurate submissions.
  • Coordinate purchasing, vendor relations, and inventory management.
  • Develop and implement operational strategies to enhance program efficiency and effectiveness.

Client and Stakeholder Engagement

  • Serve as a point of contact for client families, community partners, and referral sources.
  • Respond to client concerns and complaints, ensuring timely and satisfactory resolutions.
  • Represent the program in community meetings, outreach events, and professional networks.

Qualifications

Education

  • Highschool Diploma=Required
  • Bachelor's degree in healthcare administration=Preferred

Experience

  • Minimum of 2 years of management experience in a substance use treatment program, behavioral health, or similar healthcare setting.
  • Proven track record of operational and staff management.
  • Experience with compliance, regulatory standards, and accreditation processes in a healthcare environment.

Skills

  • Knowledge of substance use treatment modalities and recovery principles.
