Schedule: Monday, Tuesday 11:00am-7:00pm and Friday-Sunday 8:00am-4:00pm

Job Summary:

The Program Support and Chart Auditor is responsible for providing administrative and operational support to various programs and ensuring compliance with regulatory standards by auditing patient charts. This role involves reviewing documentation, verifying the accuracy of records, and ensuring adherence to internal processes, guidelines, and healthcare regulations.

Key Responsibilities:

  • Conduct regular audits of patient charts to ensure accuracy, completeness, and compliance with regulatory standards.
  • Review medical records and documentation for adherence to legal, ethical, and organizational standards.
  • Identify discrepancies, missing information, or areas where documentation does not meet requirements and take appropriate action to resolve issues.
  • Greeting clients and visitors warmly, ensuring a positive first impression of the facility
  • Answer and manage incoming phone calls, directing inquiries to appropriate staff or departments
  • Maintain accurate and confidential client records in compliance with HIPAA regulations.
  • Assist with administrative tasks such as filing, data entry
  • Support outreach efforts and community engagement initiatives as needed
  • Handle client inquiries and concerns with empathy and professionalism

Qualifications:

  • High school diploma or equivalent; additional education or certification in mental health or related fields is a plus
  • Spanish/English Bi-Lingual-Preferred
  • Previous experience in a front desk or administrative support role, preferably in a healthcare or mental health setting
  • Strong communication and interpersonal skills, with a compassionate approach to client interactions
  • Proficiency in office software (e.g., Microsoft Office Suite, electronic health records)
  • Ability to maintain confidentiality and adhere to ethical standards
  • Strong organizational skills and attention to detail
  • Ability to work collaboratively in a team-oriented environment

Physical Requirements:

  • Ability to stand, walk, and sit for extended periods.
  • May require light lifting of supplies or materials.
  • Ability to assist clients in navigating the facility and other locations.

Working Conditions:

  • Work may be performed in an office, residential, or community setting.
  • Exposure to emotionally intense situations; ability to manage stress and maintain a calm, professional demeanor.
  • Some evening or weekend hours may be required, depending on the needs of the clients or program schedule.
