Job Summary: DLC's continued growth requires a highly organized, proactive, and relationship-focused Executive Assistant. This position will report directly to our Chief Operating Officer while also providing support to our Chief Clinical Officer.
The Executive Assistant serves as a trusted partner to the COO and CCO, ensuring effective management of priorities, communications, scheduling, and key initiatives. It is a critical role in supporting executive leadership operations while helping advance strategic projects and organizational goals. The ideal candidate is detail-oriented, resourceful, highly professional, and capable of managing multiple priorities with discretion and sound judgment.
Position Duties:
Executive Support
- Manage complex executive calendars, appointments, meetings, and scheduling priorities.
- Coordinate internal/external meetings (agendas, materials, presentations, logistics, etc.).
- Serve as a primary point of contact for executive communications.
- Screen and prioritize incoming requests and correspondence.
- Draft/edit/proofread communications, presentations, reports, and briefing materials.
- Coordinate travel arrangements and related itineraries.
Project & Operations Coordination
- Track strategic initiatives and follow-up action items on behalf of executive leadership.
- Support organizational planning, leadership meetings, and operational initiatives.
- Assist with preparation of reports, dashboards, and executive summaries.
- Coordinate projects across departments to ensure deadlines and deliverables are met.
- Maintain accurate records, files, and confidential information.
Board & Leadership Support
- Assist with preparation of board, committee, and leadership meeting materials.
- Coordinate meeting logistics, presentations, and supporting documentation.
- Help manage timelines, follow-up actions, and distribution of meeting materials.
Relationship Management
- Build positive relationships with staff, community partners, vendors, and stakeholders.
- Demonstrate professionalism, diplomacy, and responsiveness in all interactions.
- Support a culture of collaboration and exceptional customer service.
Requirements:
- Associate's degree (Bachelor's preferred) and a minimum of five years of Executive Administrative experience.
- Proven success in supporting senior executives in a complex, fast-paced environment.
- Exceptional organizational/time management skills plus written/verbal communication abilities.
- Ability to manage confidential and sensitive information with discretion.
- Demonstrated aptitude for prioritizing competing demands and working independently.
- Microsoft Office 365 skills (Including Teams/Video Conferencing, SharePoint and all other programs).
- Staying compliant on all trainings and immunizations.
- Ability to pass Level II DCF Mental Health Fingerprinting (General Information can be found HERE), Drug Screen and Local Criminal Check.
Preferred Qualifications:
- Experience supporting healthcare, behavioral health, nonprofit, or mission-driven organizations.
- Project coordinating and executive-level initiatives.
- Familiarity with board governance and leadership team operations.
- Effective use of project management and collaboration tools.
Physical Requirements: This position requires a mix of physical activities throughout the workday. Duties involve periods of standing, sitting, and walking, often across various areas of the site. The role also includes tasks that may require bending, reaching, and other physical movements. Candidates must be able to occasionally lift and carry items weighing up to 50 pounds. A reasonable level of physical stamina and mobility is necessary to successfully perform the essential functions of this role.
