Job Summary: This role is responsible for providing administrative and operational support to various programs and ensuring compliance with regulatory standards by auditing client charts. It entails reviewing documentation, verifying the accuracy of records, and ensuring adherence to internal processes, guidelines, and healthcare regulations.
Key Responsibilities:
- Conduct regular audits of client charts to ensure accuracy, completeness, and compliance with regulatory standards.
- Review medical records and documentation for adherence to legal, ethical, and organizational standards.
- Identify discrepancies, missing information, or areas where documentation does not meet requirements and take appropriate action to resolve issues.
- Greeting clients and visitors warmly, ensuring a positive first impression of the facility.
- Answer and manage incoming phone calls, directing inquiries to appropriate staff or departments.
- Maintain accurate and confidential client records in compliance with HIPAA regulations.
- Assist with administrative tasks such as filing and data entry.
- Support outreach efforts and community engagement initiatives as needed.
- Handle client inquiries and concerns with empathy and professionalism.
Qualifications:
- High school diploma or equivalent = Required
- Additional education or certification in mental health or related fields = Preferred But Not Required
- Spanish/English Bi-Lingual = Preferred But Not Required
- Previous experience in a front desk or administrative support role, preferably in a healthcare or mental health setting = Required
- Strong communication and interpersonal skills, with a compassionate approach to client interactions = Required
- Ability to maintain confidentiality and adhere to ethical standards = Required
- Strong organizational skills and attention to detail = Required
- Ability to work collaboratively in a team-oriented environment = Required
- Microsoft Office 365 skills (Including Teams/Video Conferencing) and Electronic Medical Records experience = Required
- Staying compliant on all trainings and immunizations = Required
- Ability to pass Level II DCF Mental Health Fingerprinting, Drug Screen and Local Criminal Check = Required
Physical Requirements: This position requires a mix of physical activities throughout the workday. Duties involve periods of standing, sitting, and walking, often across various areas of the site. The role also includes tasks that may require bending, reaching, and other physical movements. Candidates must be able to occasionally lift and carry items weighing up to 50 pounds. A reasonable level of physical stamina and mobility is necessary to successfully perform the essential functions of this role.
